Privacy notice

This notice explains what personal information Paisley & District Scouts holds about you, why we hold it, and the rights you have over it. It sits alongside the wider privacy and data protection policy of The Scout Association and the Scouts Scotland privacy policy, which also apply to us.

Who we are

Paisley & District Scouts is a Scout District of The Scout Association (Scottish Charity No. SC003034). For the information we collect through this website we are the data controller. Contact us at info@paisleyanddistrict.org.uk.

What we collect

  • Enquiries to join or volunteer, and messages sent through the Contact page — your name and contact details, your postcode, the young person's name and date of birth where relevant, the section or group you're interested in, and anything you tell us in the message box.
  • Course and event bookings — your name and contact details, your Scout group and role, and any dietary or access needs you give us so we can run the course safely.
  • Certificates uploaded when booking — a few courses can only be taken after an earlier one (for example the First Response 10B practical needs your 10A certificate), so the booking form asks you to upload proof. Only the trainers of that course and the district team can open it.
  • Payments for courses — if you book a paid course from outside the district, we ask you to save a card with Stripe, our payment provider, and charge it after the course has run. Your card number goes straight to Stripe: we never see or store it, only whether the payment worked.
  • Shop orders — your name, email, phone number, delivery address (for posted items) and what you ordered. Printed items are made and posted by our supplier, who is given the delivery details needed to send your order.
  • Network event bookings — booked on the PDSN website: your name, mobile number and email address, which Network you are from, what you booked (for example the evening or overnight camping) and whether you have paid. Card payments are taken by Stripe, our payment provider; your card number goes straight to Stripe and we never see or store it.
  • Borrowing equipment — your name, contact details, your group and the dates you need the kit.
  • Volunteer and trainer accounts — your name, email address and role, and the details of your sign-in.
  • Expense claims for district events — the leader's name and the bank details they give us so we can pay money back to them.
  • Newsletter — your name and email address, if you ask to be added.
  • Website use — the site sets one essential cookie to keep forms working. We do not run advertising or profiling cookies. Our forms use Cloudflare Turnstile, a spam check that doesn't track you across websites, and event pages with a map load the map pictures from OpenFreeMap, so your browser contacts them when you view the page.

Why we use it, and our lawful basis

  • Responding to your enquiry and running local Scouting — our legitimate interests as a youth organisation, and, once someone joins, the contract of membership.
  • Taking bookings, payments and orders — it is needed to provide the course, item or kit you asked for.
  • Network event bookings — it is needed to give you the place you booked and to contact you about it.
  • Sending the newsletter — your consent, which you can withdraw at any time.
  • Keeping people safe — our legal obligations and the safeguarding requirements of The Scout Association.
  • Keeping accounts — our legal duty to keep financial records.

Who we share it with

We share your details only with the people who need them: the volunteer leaders of the group or section you've asked about; the trainers of a course you've booked; the leaders running a Network event you've booked; The Scout Association and Scouts Scotland where it relates to membership, training or a safeguarding matter; and the organisations that work for us — our website host, our email provider (Microsoft), Stripe for card payments, Cloudflare for spam protection, and the supplier who makes and posts shop items. They may only use your information to do that job. We never sell your information or pass it on for anyone else's marketing.

How long we keep it

  • Enquiries and messages that don't lead to membership — up to 24 months, then deleted.
  • Members — for the duration of membership and afterwards in line with The Scout Association's retention rules. Because of our safeguarding duties, some records relating to any adult or young person who has been a member are kept permanently, and we cannot delete these on request.
  • Course bookings — bookings you cancel are deleted after 12 months, along with any certificate you uploaded for them. Bookings for courses that went ahead are kept while needed for training records, with the certificate.
  • Network event bookings — deleted 12 months after the event. A booking that was started but never paid for is deleted after a day. Stripe keeps its own record of card payments.
  • Shop orders, invoices and expense claims — kept for the period the law requires for financial records.
  • Newsletter — until you unsubscribe.

Your rights

You can ask us for a copy of your information, to correct it, delete it, restrict or object to its use, or move it elsewhere. Where we rely on consent you can withdraw it at any time. Some rights are limited where we have a legal duty to keep a record. To make a request, email info@paisleyanddistrict.org.uk.

Complaints

Please tell us first so we can put things right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
